Building an invoice

When it’s time to bill, you don’t re-enter a thing. The invoice composer gathers a client’s unbilled work for a period and turns it into a draft you can refine.

The composer

Open New invoice (or reach it from a “money waiting” item on Today) and:

  1. Pick a client and a period. The composer lists that period’s open billable work, each line checked by default – uncheck anything you’re not billing this time. If the client has open billable entries before the period start, a note tells you how many (“2 unbilled entries before Jun 1, 2025 not included in this period”) – a reminder to widen the period or bill them separately rather than let them go unnoticed. Each line reads like 2026-05-10 – [Bug Fix] Fixed the header: the date, the entry’s task type in brackets (when it has one), then your summary.
  2. Add other lines. Drop in fixed-fee project lines, any pending re-billed renewal charges (from marking a re-billed service renewed – already at the marked-up price), and any manual lines (a discount, an expense, a flat charge).
  3. Create the draft. Taxes and your invoice prefix come from Settings and are snapshotted onto the invoice, so later changes to your defaults don’t rewrite old bills.

Creating the invoice marks every included work entry invoiced, so the same time can never land on two invoices.

The invoice lifecycle

A built-in invoice moves through clear states:

  • Draft – still editable; nothing has gone out.
  • Sent – you’ve marked it sent (print or save a clean PDF to deliver it).
  • Paid – you’ve recorded payment.
  • Void – cancelled. Voiding releases its work entries so they can be billed again if needed.

Amounts are stored to the cent and shown in the client’s (or your) currency.

Fiscal year reminders

Set when your fiscal year starts in Settings (it defaults to January, i.e. a calendar year). 30 days before it closes, Yven emails you a one-time reminder listing any client with open, billable work that isn’t invoiced yet – a nudge to batch it into an invoice before the year closes rather than let it fall between periods.

Connected to QuickBooks or FreshBooks?

If you’ve linked an accounting provider, the draft pushes there instead of using the built-in invoicer – see external invoicing.
