Yven Help

Sharing with clients

Clients like to know you’re looking after them. Yven can give each client a private link to a live, read-only log of the work you’ve done.

Generating a link

On a client’s Overview, use the share controls to generate a link. You can copy it, regenerate it (which invalidates the old one), and revoke it entirely. Yven also shows when the link was last viewed.

The link reads like yourapp.com/share/acme-co/k3x9m2q7wd4p: the client’s company name (or their name, if there’s no company) makes it easy to recognize in an email, and the short random code at the end is what actually keeps it private. Only someone with the full link can open it. The name part is just for looks – it isn’t checked, so renaming the client doesn’t break a link you’ve already sent. Links you created before this change keep working exactly as they were.

What the client sees – and doesn’t

The shared page shows only the work entries you marked client-visible, grouped by month and project, with each entry’s task type beside its date (when it has one).

Monthly totals

Each month ends with a total: the logged time for that month and, where the work is billable, its dollar value – for example June total · 3h 30m · $350.00 billable. The value uses the same rate rules as your invoices (an entry’s own rate, then the client’s rate, then your default). Work that was written off, is covered by a plan, or sits on a fixed-fee project isn’t counted in the dollar figure. A month with nothing to show – no billable value, and time hidden – has no total line.

Show logged time is a switch right on the client’s Shared work log card on the Overview. It applies to that client’s link only. On, the page shows minutes on each entry and each month’s total time; off, clients see what you did and the dollar value of billable work, but not how long it took. It saves as soon as you flip it.

What the client doesn’t see

The shared page deliberately does not show:

  • your hourly rate or any per-entry amount (only the month’s billable total),
  • invoice status,
  • private notes,
  • any other client’s data,
  • your app navigation or account.

Because the page now shows a dollar total, a client who can also see the logged time could work out your effective hourly rate. If you’d rather not share that, switch Show logged time off for that client.

Safe by design

A share link works without logging in, but only ever exposes one client’s visible work. Revoke it and it stops working immediately. The page is marked so search engines won’t index it.

Where to next

  • Control which entries are visible with the client-visible flag when you log work.
  • Choose whether a client’s shared log shows logged time with the Show logged time switch on their Overview.
