Welcome to Yven
Yven is the system of record for a one-person web shop. If you look after a handful (or a hundred) of client sites, it’s the one place that answers, for any client: where everything lives, who controls it, who pays for it, when it renews, and what you’ve done lately.
This guide is written for people who build things for a living, so we won’t hand-wave the details – but we’ll keep it friendly. Here’s the lay of the land.
The three jobs it does
1. The registry – where everything lives. For each client you record their sites and their services: domains, DNS, hosting, SSL, CMS plugins, analytics, code repositories, payment processors, and more – plus reference links like a style guide or documentation URL on the site itself. Every service notes the provider, who manages it, who pays for it, and a pointer to where the login lives (your password manager), never the password itself.
2. Renewals – nothing lapses. Anything with a renewal date lands on a dashboard, bucketed by urgency. Once a day, at 8am your time, you get one email covering both your chosen lead days as a renewal approaches and anything that’s slipped past into overdue. A domain quietly expiring on a client site is exactly the kind of thing that loses you a client; Yven makes sure you see it coming.
3. The work ledger & invoicing – capture and get paid. Log a fifteen-minute fix or a month-long build in seconds (press w anywhere), then batch a client’s unbilled work into one clean invoice – pushed to QuickBooks or FreshBooks, or produced by Yven’s built-in invoicer.
On top of that, you can hand a client a live, read-only link to the work you’ve done for them – no rates, no other clients, just a tidy log that makes you look as organised as you are.
How the pieces fit
Client → Sites & Assets → Work → Invoices. A client has sites and assets (the registry). You log work against a client (optionally tied to a project). At month-end you turn unbilled work into an invoice. Renewals watch the dates on your assets the whole time.
